How to Search Civil Dockets
Start with the Putnam County docket index for a known hearing date. It publishes Circuit Civil and General Sessions civil PDFs as well as related domestic and motion-date material. For a party or case number, use Putnam TnCIS Web Inquiry and select the Circuit Court or General Sessions path shown. The system's full dynamic list was not available in the research, so do not assume filters that are absent from the live form.
Determine the court before searching. A Putnam Circuit civil number follows the observed pattern 71CC1-YYYY-CV-NNN. General Sessions handles a separate civil calendar, while Chancery records go to the Clerk and Master. A city matter, appeal, or federal case also has a different custodian.
- Open the dated PDF index for a calendar search or TnCIS for a party search.
- Select the court and civil case type presented by the live system.
- Match the party, full case number, filing year, and court prefix.
- Read the setting, category, counsel, status, and cross-reference notes.
- Request the filed order or certified judgment from the correct clerk if needed.
Putnam Civil Docket Search Layers
The dated PDF and TnCIS answer different questions. A PDF is a court calendar for a selected date and judge. TnCIS is a public case-information layer that supports party-name and case-number searches. The official guide also describes “All documents” and “NO documents” choices, but document availability can vary in Putnam County.
| Channel | Best Use | Limit |
|---|---|---|
| County PDF index | Known court date or session | Calendar snapshot, not the whole file |
| Putnam TnCIS | Party or case-number lookup | Images and options vary |
| Clerk request | Named filing, order, or certified copy | Fees and access rules apply |
If neither online layer returns the matter, check Chancery, Probate, a municipal court, Tennessee appellate Public Case History, or PACER for federal cases. An absent result does not prove that no case exists.
What a Civil Docket Shows
The reviewed Putnam County Circuit civil docket identifies the court, generated time, selected hearing time, judge, number, type, filing date, category, subcategory, parties, attorneys, hearing notes, and status. It may mark jury or nonjury handling, trial and pretrial dates, “to be set per DC,” reopening, or consolidation. Private sample names are not needed to understand these fields.
| Case Number | Observed Circuit format 71CC1-YYYY-CV-NNN. |
|---|---|
| Parties | The case caption, with attorneys listed where present. |
| Category | Civil category and subcategory, such as contract, debt, or damages. |
| Setting Notes | Motion, pretrial, bench trial, jury trial, or local scheduling text. |
| Status | Reopen, consolidation, or another status clue. The filed order remains authoritative. |
The PDF is not a document-linked register of every complaint, answer, exhibit, motion, or order. Search TnCIS for available case detail, then ask the clerk for a specific public document.
Putnam Civil Docket Clues
Several local notes require care. “MVA” can flag a motor-vehicle accident context. “Jury Demand” marks a jury request, not a verdict. “To be set per DC” means the date still follows the court's scheduling route. “Consolidated with” points to another case number, while “reopen” signals later activity in an existing matter.
- Pretrial
- A setting before trial, sometimes with a stated date.
- Bench trial
- A trial setting before the judge rather than a jury.
- Consolidated
- A cross-reference that makes searching both case numbers useful.
- Reopen
- A status clue; obtain the current order for its effect.
A Putnam County civil docket date is never the same thing as a judgment. The setting tells when or why a case appears on the calendar. A signed and filed order states what the court decided.
Types of Civil Cases on the Docket
Putnam County civil docket categories differ by court. Circuit samples include damages and torts, contract or debt, and divorce with minor children. General Sessions work can include summonses, detainers, garnishments, levies, possession, slow-pay, and show-cause settings. Chancery adds broad equitable and property work through the Clerk and Master.
- Contract, debt, damages, and tort claims in the proper trial court
- General Sessions detainer, garnishment, levy, possession, and related matters
- Domestic, divorce, adoption, support, and paternity matters where assigned
- Property boundaries, quiet title, partition, trusts, and foreign judgments in Chancery
- Probate, conservatorship, guardianship, minor settlement, and estate proceedings
Tennessee General Sessions jurisdiction varies by county and private act. Confirm the filing type and court with the clerk instead of choosing a docket from the claim label alone.
Putnam Chancery Docket Map
Brandi Ashburn, Clerk and Master, keeps Putnam County Chancery records at the Justice Center in Suite 1C38. The official county page lists domestic matters, adoption and termination, contract and debt, partition and quiet title, property damage and boundary disputes, trusts, minor settlements, name changes, judicial review, paternity, foreign judgments, support enforcement, and conservatorship or guardianship.
A property or domestic search that fails in the Circuit PDF should therefore move to the Clerk and Master. Call 931-526-6321 or use the Chancery counter. The Circuit Clerk's TnCIS and PDF paths should not be treated as a complete Chancery index.
Routing point: Search by custodian as well as case type. Similar civil subjects can appear in different Putnam courts.
Settings and Hearings on Civil Dockets
A Putnam County civil docket header gives the selected hearing date and time, court, and judge. Rows then state the purpose through notes such as motion, pretrial, bench trial, jury trial, or status. The clerk FAQ says General Sessions civil is commonly docketed Tuesday and Thursday, but the current PDF is the source for a particular date.
The 13th Judicial District rules place responsibility on attorneys to determine docket-setting dates. A continuance requires leave of court, not just an agreement between the parties. If a docket says continued, locate the new setting in TnCIS or the next PDF and call 931-528-1508 when it remains unclear. The separate Putnam County court calendar explains the date fields in more depth.
Requests may also go to the counter, recordsclerk@putnamcountytn.gov, by mail, or by fax at 931-526-2004. Include party name, case number, and year. Ask if a public terminal is available because no official source confirmed one.
Putnam Civil Motion Calendars
Circuit civil motion dates are judge-specific. The clerk site publishes separate 2026 motion-date sheets for Judges William Ridley and Caroline Knight. The reviewed Circuit civil sample also names Judge Knight and displays a selected hearing session. A date from one judge's sheet should not be applied to a case assigned to the other judge.
Use the assigned judge shown on the current docket. Local rules say the clerk provides docket-setting dates and the docket identifies the judge. An older appendix or saved PDF may not reflect a later change, holiday, judicial conference, or court order.
Note: A motion-calendar date is a setting, not proof that a motion was granted or that the civil case ended.
Certified Putnam Civil Orders
A screen result or daily Putnam County civil docket is not automatically a certified judgment. Tennessee Rule of Evidence 902 describes custodian-certified public records. The Putnam fee schedule lists a $5 certified-copy item, but it does not state every plain-page, exemplified-copy, labor, postage, or document-image charge.
Ask for the exact order or judgment by party name, case number, year, and document description. State why certification is needed only to the extent it helps the clerk provide the right form. Request an itemized estimate for a large file. Inspection is free under the county policy, while copies can be picked up, mailed after postage, or emailed when allowed.
| Need | Request |
|---|---|
| Calendar fact | Current docket PDF or TnCIS result |
| Decision text | Named filed order or judgment |
| Authenticated record | Certified copy from the proper custodian |
Public Access to Civil Dockets
Tennessee Supreme Court Rule 34 recognizes public access to case records unless law, rule, a seal, or a protective order provides otherwise. Public access to a Putnam County civil docket does not mean every exhibit, personal field, family record, draft, or internal court document is open. Juvenile dependent and neglect records are confidential under Rule 114.
For Circuit or General Sessions records, email recordsclerk@putnamcountytn.gov, call 931-528-1508, mail a request, or visit Room 1C, Suite 49A at 421 East Spring Street in Cookeville. Chancery requests go to the Clerk and Master in Suite 1C38. The Putnam public-record policy says the custodian acts within seven business days by producing, denying in writing, or giving an estimated completion date.
Key Rules:
Tennessee Supreme Court Rule 34 sets the public-access baseline and recognizes lawful exceptions.
Tennessee Public Records Act guidance explains custodian requests, inspection, copies, fees, and citizen access.
Tennessee Supreme Court Rule 46A governs electronic service tied to courts that allow local e-filing.
Putnam local Rule 6 authorizes electronic filing, but the reviewed official sources do not name a public vendor or current registration page. TnCIS is a public case-information system, not the e-filing portal. If material is withheld, ask for the legal basis and whether a redacted public portion can be produced.
